Privacy Policy
SouthCoast Processing LLC
The Short Version
We process mortgage loans for brokers. That means we handle some of the most sensitive paperwork in your life, and we know it. Here's what matters most:
- We never sell your information. Not to anyone, not for any reason.
- We use your information for one thing: getting your loan processed.
- AI helps us read and organize loan documents. The AI companies we work with don't keep any of it, don't train on it, and don't let their people see it.
- If you call us, we ask before we record. If you say no, we don't.
- Nothing on this website tracks you unless you tell us it can.
- Questions about your data go to privacy@scprocessing.com. You'll hear back within 15 days, and usually much sooner.
Who We Are
SouthCoast Processing LLC ("SCP") is a third-party mortgage loan processing company. We work for mortgage brokers and their loan officers, handling the administrative side of residential mortgage loans: organizing documents, working with underwriting, clearing conditions, and getting loan files to closing.
This policy covers everywhere you might deal with us: this website (scprocessing.com), our loan processing platform, our phone calls and text messages, and our work with borrowers, loan officers, and business partners.
Who This Policy Applies To
Four groups of people deal with SCP, and this policy covers all of them:
- Website visitors: anyone who visits scprocessing.com, including people who fill out our partnership form or sign up for text messages.
- Loan officers and loan officer assistants: people who work for our broker clients and use our platform to manage and process their loans.
- Borrowers: people whose mortgage loans we're processing. You might reach us through a secure upload link, a secure document page, a phone call, or a text message.
- Partners: title companies, closing attorneys, insurance agents, real estate agents, and other service providers who get secure upload requests from us for a loan we're processing.
Our services are for adults. No one under 18 can be a party to a mortgage, and nothing on this website or in our platform is aimed at children. We don't knowingly collect information from anyone under 18.
Information We Collect from Website Visitors
Partnership Inquiry Form
If you fill out the partnership form on scprocessing.com, we collect what you give us, which may include your name, email address, and phone number. We use it only to get back to you. We don't add you to a marketing list, sell your information, or share it with third parties.
Text Message Sign-Up
If you sign up for text message notifications from SCP, we collect your name, email address, and mobile phone number, along with a record of your consent: when you opted in and how. We use them only to send the notifications you signed up for, which let you know there's a new update waiting in your secure account portal. Your phone number and your consent to receive texts are never shared with or sold to any third party for their marketing. Reply STOP to any message to opt out at any time. For help, reply HELP or email smshelp@scprocessing.com.
Cookies and Tracking Technologies
Our website uses cookies and similar tracking tools. The first time you visit, a cookie banner lets you choose what to allow. There are three kinds:
- Strictly necessary cookies: the ones the site needs to work at all. They're always on and can't be turned off.
- Analytics cookies: Google Analytics, which shows us how people use the site, such as which pages they visit and how they move around. It collects things like your IP address, browser type, operating system, and browsing behavior, and we use what it tells us to make the site better. These stay off unless you say yes.
- Advertising cookies: tracking tags from Meta (Facebook and Instagram), TikTok, LinkedIn, and Google that measure how our ads perform and show our ads to people who've visited our site. They may collect things like your IP address, browser information, the pages you visit, and what you do on the site. That data goes to those platforms, which may use it for ad targeting and measurement. These stay off unless you say yes.
You can change your choices anytime from the cookie banner. If you turn analytics and advertising cookies off, those tools don't run during your visit.
Information We Collect from Loan Officers and Loan Officer Assistants
If you're a loan officer or loan officer assistant (LOA) at one of our broker clients, here's what we collect when you use our platform:
- Account information: your login credentials and the verification method you chose (a passkey, an authenticator app, or a phone number for text-message codes).
- Loan pipeline data: the borrower names, property addresses, loan numbers, loan status, and related details you work with in the platform.
- Document activity: when you upload, view, or manage documents in the platform, we log it for security and operational purposes.
- Lender portal access: to track and clear lender conditions, our systems sign in to lender portals with SCP's own logins, which each lender sets up for us inside your brokerage's account. We keep those logins in an enterprise credential manager. The condition lists and loan details we capture from those portals become part of the loan file, and when a processor picks the files that answer a condition, our system uploads them to the lender's portal for underwriting.
- Questions to our AI tools: if you use our guideline analysis or loan evaluation tools, your questions and any documents you attach go to our AI providers to generate answers. Those providers keep nothing (see How We Use Artificial Intelligence below).
We use this information to process loans for your broker and to keep our systems secure. We don't use it for anything unrelated to loan processing.
Information We Collect from Borrowers
If we're processing your mortgage loan, we receive and handle paperwork that may include:
- Tax returns and W-2 forms
- Pay stubs and employment verification records
- Bank statements and asset documentation
- Government-issued identification
- Social Security numbers
- Appraisals, title documents, insurance records, and closing documents
- Recordings and transcripts of phone calls with us, when you consent to being recorded
It comes to us from your loan officer, from you through our secure upload links, or from partners working on your loan, such as a title company or an appraisal management company.
How We Use Your Information
We use your information for one purpose: processing your mortgage loan. That means we use it to:
- Talk with you by phone, email, or text message about questions, document requests, and status updates
- Record and transcribe phone calls with your consent, so what we discussed is preserved in your loan file
- Organize and manage your loan file
- Submit your loan to the investor your loan officer chose
- Work with underwriters to clear conditions
- Coordinate with the title company, insurance providers, attorneys, and everyone else involved in your closing
- Use AI to organize your documents, support our processors, and summarize recorded calls (more on that below)
What We Will Never Do with Your Information
We will never:
- Sell your information to anyone
- Share it with anyone who isn't directly involved in processing your loan
- Use it for marketing, advertising, or solicitation
- Use it to make any lending decision. We're a processing company, not a lender
Information We Collect from Partners
If you're a title company, closing attorney, insurance agent, real estate agent, or other service provider, you may get a secure upload request from us for a loan we're processing. When you use one of those links:
- You don't need to create an account or give us any personal information beyond the documents you upload
- Each link is time-limited and protected by a signed security token
- You don't get ongoing access to our systems, and a link can't be reused once it expires
- The documents you upload get the same security protections as all borrower data at SCP
We also keep information about the service providers involved in the loans we process, including company names and contact information. We combine it into a master database of service providers and use it to track performance. When any of it is shared outside SCP, it's never tied to an individual loan or borrower.
Phone Calls and Recording
Calls to and from SCP's phone system may be recorded. We ask for consent at the start of every recorded call, and we log the answer. If the other person says no, the recording is deleted. Recordings are transcribed by software we run ourselves, so no outside company ever receives the audio, and AI may summarize the transcript so what was discussed is preserved accurately in the loan file. Recordings and transcripts are kept as part of the permanent loan file, with the same protections as loan documents.
How We Use Artificial Intelligence
What our AI does. When you or your loan officer upload documents, our AI reads each page, works out what it is (a W-2, a bank statement, a pay stub, and so on), and files it in the right place in your loan file. Our processors also use AI to look up lender and agency guidelines, check your file against the conditions your lender has set, find text inside appraisals, keep your file organized, and summarize phone calls that were recorded with your consent. To do that, our AI tools read your actual documents and call transcripts, sensitive information included.
Where your information goes. We use three AI providers: Amazon Bedrock, Fireworks AI, and Google Cloud Document AI. We chose them for one reason above all others: none of them keeps anything. Your documents, our questions, and the AI's answers are processed and then gone. The providers never store them, never use them to train an AI model, and never let their employees or the companies that built the models see them. Transcription of recorded calls is done by software we run ourselves, so no outside AI company ever receives your voice. We check these commitments before we adopt any model, and again before we change one. Specifically, the models we use are Amazon Bedrock (Claude Opus 5.5, Claude Opus 5, Claude Sonnet 5.5, Claude Haiku 4.5, Qwen3-VL-235B, and Amazon Titan Text Embeddings), DeepSeek v4.1 Flash on Fireworks AI, Google Document AI, and NVIDIA Parakeet.
Who decides your loan. Only your lender decides your loan application. A lender can approve it, approve it on different terms, suspend it, or deny it. We can't make any of those decisions, and neither can our AI. Our AI reads your documents, does the math, and checks your file against the lender's guidelines and conditions. Our processors work from what it finds, and they can correct anything it gets wrong. We're a processing company, not a lender.
How We Protect Your Information
Everything you trust us with is protected by enterprise-grade security, including:
- Encryption at rest with keys we control, and TLS 1.2 or higher in transit
- Deletion protection, continuous point-in-time recovery, and versioning of every document
- An independent off-cloud copy, encrypted before it leaves our cloud with a key we hold only offline, that can't be destroyed even if someone stole our cloud credentials
- Multi-factor authentication on all system access
- Company-managed computers with enforced full-disk encryption, disabled removable media, and antivirus protection
- Background checks and annual security training for every employee
- Application credentials kept in a dedicated secrets management service, never in code
We maintain a Written Information Security Plan (WISP), an Incident Response Plan, and a Business Continuity Plan, and we carry General Liability, Errors and Omissions, and Cyber Liability insurance.
How we test our own defenses. We use AI to find and fix weaknesses in our own systems: security reviews, hardening, and penetration testing. For that work we use Anthropic's most capable current models, including Mythos-class models, under its Cyber Verification Program. Anthropic vets every security team before it admits one, and we have been approved into the program. Anthropic keeps those sessions for 30 days so it can watch for misuse. We accept that, because the work runs against our code, our configuration, and a demo copy of our platform, never your information. As better tools come along, we'll use them.
If something goes wrong. If we ever confirm a breach involving your personal information, we'll notify you within 30 days of confirming it, along with your mortgage broker and the state agencies that require notice. That commitment is written into our Incident Response Plan.
How Long We Keep Your Information
Loan Documents and Call Recordings
We keep all loan documents, and any recordings and transcripts of calls you consented to, as part of the permanent loan file. That's for your benefit and your loan officer's: if you refinance, buy a new home, or need paperwork from an earlier loan, your loan officer can get your complete file right away. We keep every loan file for at least seven years after closing to meet regulatory requirements, and we may keep it longer for your continued benefit.
Your loan data belongs to your mortgage broker, and we're its custodian. Every retained document gets the same security protections as an active loan file.
Website Inquiry and Text Message Data
We keep partnership form submissions only as long as we need to respond and for reasonable business recordkeeping. We keep text message consent records while you're subscribed and for as long afterward as carrier and regulatory rules require.
Analytics and Advertising Data
Data collected by Google Analytics and the advertising tags (Meta, TikTok, LinkedIn, Google) falls under each platform's own retention policies. SCP doesn't store it. You can limit what these platforms collect by managing your cookie choices on our website.
Who We Share Your Information With
We share information only when we need to, to process a loan or run our business:
- Loan processing partners: while processing a loan, we share borrower documents with investors, underwriters, title companies, closing attorneys, insurance providers, and other parties as the loan officer directs. We share only what's needed to move the loan forward.
- Technology providers: the providers that host and support our platform process data for us, under our instructions.
- Analytics and advertising platforms: if you accept analytics and advertising cookies on our website, browsing data goes to Google Analytics, Meta, TikTok, and LinkedIn for analytics and ad measurement. This applies only to website visitors, and only with your consent.
- Legal requirements: we'll disclose information when the law requires it, including a regulation, subpoena, court order, or regulatory examination.
We don't sell your information to anyone, for any purpose, under any circumstances.
Your Rights and Choices
- Cookie preferences: change them anytime from the cookie banner on our website. Turning off analytics and advertising cookies keeps those tools from running.
- Text messages: reply STOP to any message to opt out.
- Questions about your data: you have the right to ask how your information is handled. Email privacy@scprocessing.com or write to us at the address below. We'll confirm your identity before we discuss your information, and we'll respond within 15 days.
- Concerns: if you think your information has been mishandled, contact us directly, or reach out to your mortgage broker or loan officer, who can take it up with us on your behalf.
Changes to This Policy
We may update this policy when our practices, our technology, or the law changes. When we do, we'll update the effective date at the bottom of this page, so it's worth checking back from time to time.
